Getting Started

Learn how to install, activate, and set up Pilot Car Admin for the first time.

Step-by-Step Instructions

  1. Download the Pilot Car Admin installer from your purchase confirmation email or the download link provided.
  2. Run the installer and follow the on-screen instructions to install the application.
  3. Launch Pilot Car Admin and enter your license key when prompted.
  4. Complete the initial setup wizard to configure your business information, default rates, and preferences.
  5. Start by adding your first customer or creating a test invoice to familiarize yourself with the interface.

💡 Tips

  • Keep your license key in a safe place. You'll need it if you reinstall the software.
  • The initial setup wizard helps you configure default settings, but you can change these anytime in Settings.

Creating and Managing Invoices

Create professional invoices with multiple billing types designed for pilot car services.

Step-by-Step Instructions

  1. Click "New Invoice" from the Dashboard or Invoices page.
  2. Select a customer from your customer list, or create a new customer on the fly.
  3. Choose your billing type:
  4. • By Mile: Charge per mile traveled
  5. • Mini Run: Fixed rate for short runs
  6. • Day Rate: Flat daily rate
  7. • Hourly: Charge by the hour
  8. • Chase/Pole: Specialized pilot car service rate
  9. Enter the run details: origin, destination, miles, dates, and any special notes.
  10. Add extras if applicable (overnight rates, additional services, etc.).
  11. Review the automatically calculated total.
  12. Set the invoice status: Draft, Sent, Paid, or mark as Overdue.
  13. Save the invoice. You can print or export as PDF at any time.

Invoice Statuses

  • Draft: Invoice is being prepared and hasn't been sent
  • Sent: Invoice has been sent to the customer
  • Paid: Customer has paid the invoice
  • Overdue: Invoice is past its due date
  • Cancelled: Invoice has been cancelled

Setting Reminders

  • Set automatic reminders for follow-up on unpaid invoices
  • Configure reminder frequency (e.g., 7 days, 14 days, 30 days)
  • View all upcoming reminders on the Dashboard

PDF Export

  • Click "Print" or "Export PDF" on any invoice
  • Professional formatting with your business information
  • Includes all invoice details, line items, and totals

Invoice CSV Import (office)

  • In Pilot Car Admin on Windows, use Invoice CSV Import to create or preview many invoice lines from a CSV file
  • Map columns to match your file (customer, dates, billing type, miles, from/to, description, quantity, overnight nights, notes, driver/truck, etc.)

Optional mobile run log (fleets — with Pilot Car Admin)

  • Optional complementary app for drivers: log runs on a phone with no rates on the device
  • Export CSV to the office; same Pilot Car Admin install uses Invoice CSV Import to pull those rows into invoices
  • Billing, rates, and PDFs stay in Pilot Car Admin on the desktop—it is one workflow, not a second product

  1. Navigate to the Customers page from the main menu.
  2. Click "New Customer" to add a customer.
